From Excel to AI: A Realistic Migration Path for SMBs
Most Indian SMBs run their inventory on Excel. This is not a failure; it is rational. Excel is flexible, familiar, and free. The problem is not Excel itself but what happens as the business grows: the spreadsheets multiply, formulas break, data gets stale, and nobody trusts the numbers anymore.
The common advice is to 'upgrade to an ERP.' This advice is often wrong for SMBs. ERPs are expensive, complex, and require months of implementation. Many SMBs that buy ERPs end up running Excel alongside the ERP because the ERP is too rigid for their actual workflow.
A better approach is incremental automation with AI. Instead of replacing Excel in one big bang, you layer AI on top of your existing process and gradually shift workload from manual to automated. Here is the phased approach we recommend.
Phase 1 (Week 1-2): Connect. Deploy a WhatsApp AI agent that can read your existing Excel files and answer questions about stock levels. The AI agent writes to a database, and you can still export to Excel whenever you want. The difference is that data entry now happens in real time, from anywhere, in natural language.
Phase 3 (Month 2): Automate. Turn on automated alerts (low stock, expiry, slow-moving items) and daily reports. The AI starts doing work that previously required someone to open Excel, create a pivot table, and interpret the results. Most of the value shows up in this phase.
Phase 4 (Month 3+): Predict. With 8 to 12 weeks of clean data, enable demand forecasting. The AI suggests reorder quantities and timing based on actual consumption patterns. This is the stage where you are getting capabilities that Excel simply cannot provide.
The key insight is that each phase delivers standalone value. If you stop at Phase 1, you still have a better system than before. This removes the all-or-nothing risk that makes ERP migrations so scary for SMBs.
