What ERP Vendors Won't Tell You About Real-Time Inventory

Every ERP vendor says their system provides 'real-time inventory visibility.' The marketing is consistent across Busy, Tally, SAP Business One, and cloud ERPs like Zoho Inventory. The reality for most Indian SMBs is different. The numbers in the ERP are only as current as the last data entry, and data entry usually happens at the end of the day, if it happens at all.

The fundamental issue is not the software but the workflow. ERP systems require someone to sit at a computer and enter transactions. In a fast-moving warehouse or factory floor, this does not happen in real time. It happens in batches: the morning count gets entered at lunch, the afternoon transactions get entered at end of day, and corrections get entered the next morning. The ERP technically supports real-time; the operational reality is batch.

This gap between ERP numbers and physical reality creates three problems. First, inventory decisions (what to order, what to pick, what to ship) are based on stale data. Second, reconciliation between physical stock and system stock becomes a periodic fire drill. Third, the team loses trust in the system and reverts to manual checks, which defeats the purpose of having an ERP.

The solution is not a better ERP. It is a better input mechanism. When stock movements are captured at the point of action (via WhatsApp message, barcode scan, or voice) rather than at the point of data entry (a desk, hours later), the ERP data becomes genuinely real-time. The ERP still serves as the system of record; the AI layer handles the input capture.

We have seen this work across industries. A fuel delivery business captures tank dip readings via WhatsApp. A textile factory logs challaans from the floor. A retail store records sales through a simple WhatsApp message. In all cases, the ERP data is hours more current than it was before, and the team no longer needs dedicated data entry time.
